Summary

The Executive Assistant to the President provides high-level administrative, process and strategic support, enabling the President to effectively lead the organization. This role requires exceptional organizational skills, discretion, and the ability to manage competing priorities in a fast-paced environment. The Executive Assistant serves as a trusted partner, facilitating communication, managing critical workflows, and ensuring operational efficiency at the executive level, while also overseeing front office operations, company travel programs and select business processes.

What You'll Do

  • Manage the President’s calendar, including scheduling meetings, appointments, and travel arrangements
  • Prepare and organize materials for meetings, presentations, and reports
  • Support execution of key business initiatives and special projects as assigned
  • Track priorities, deadlines, and follow-ups to ensure timely completion
  • Lead select business processes as assigned
  • Coordinate cross-functional activities with senior leadership and department heads
  • Maintain strong relationships with key partners, clients, and vendors
  • Plan and coordinate executive meetings, large team meetings and leadership offsites
  • Assist with company events as needed
  • Prepare agendas, take meeting minutes, and track action items for the Americas Leadership Team meetings
  • Oversee the daily operations of the reception area to ensure a professional and welcoming environment and supervise receptionist
  • Establish and maintain front office procedures, ensuring consistent service standards for visitors and callers
  • Manage and oversee the company’s travel program, including policies and preferred vendors
  • Serve as the primary point of contact for travel-related issues and vendor relationships
  • Handle sensitive and confidential information with the highest level of professionalism
  • Exercise sound judgment in decision-making and communications
  • Improve and maintain administrative processes and systems and ensure key documentation is kept up-to-date
  • Support budgeting, expense reporting, and vendor coordination as needed

Who You Are

  • Bachelor’s degree or equivalent experience preferred
  • 5+ years of experience supporting senior executives, ideally at the C-suite or Executive level
  • Experience managing office operations, reception functions, or travel programs preferred
  • Process improvement experience preferred
  • Strong organizational, time management, and problem-solving skills
  • Excellent written and verbal communication abilities
  • High level of discretion and professionalism
  • Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint) and collaboration tools
  • Ability to manage multiple priorities with minimal supervision

Belimo is committed to paying all employees in a fair, equitable and transparent manner. The base pay for this position ranges from $85,000 - $100,000 annually with a target performance bonus of 10% of an employee’s annual base salary. Compensation is based on several factors including geographic location and may vary depending on job-related knowledge, skills, education and experience.
