Summary

The Payroll Specialist supports the full-cycle U.S. based employees' payroll process with a specific focus on multi-state compliance and remote-work tax nexus and Canada- based employees (multi-province).

This role ensures that employees are paid accurately and that the company remains compliant with the diverse labor and tax laws of every state and Province where Belimo has a physical or remote presence. The purpose of this position is to continue our high level of service to our employees through operational excellence.

What You'll Do

  • Multi-State Tax & Nexus Management:
    • Monitor and audit employee work locations to ensure accurate State Unemployment Insurance (SUI) and State Income Tax (SIT) withholdings.
    • Register the company for new tax IDs in new states/ provinces as the remote workforce expands.
    • United States: Federal, State, and local tax jurisdictions.
    • Canada: Federal (CRA) and Provinces/Territories (including Revenu Québec).
  • ADP System Ownership:
    • Lead the maintenance of the ADP platform, specifically managing "Geographic Pay" rules and state-specific tax profiles.
    • Troubleshoot complex time-tracking issues within ADP to ensure FLSA compliance for remote non-exempt staff (e.g., meal and rest break laws in specific states).
  • Financial Integrity & Auditing:
    • 401(k)  Manage biweekly contributions to Empower, ensuring they meet the DOL "timely deposit" standards to avoid ERISA violations.
    • Audit Readiness Support.
  • Regulatory Reporting:
  • Validate quarterly tax filings (Form 941) and year-end reporting (W-2s), specifically auditing for "multi-state" W-2 accuracy for                     employees who moved mid-year.
  • Validate quarterly tax filings and year-end reporting for Canada (T4s RL-1s) CPP/QPP, EI, and provincial taxes.
  • Other duties as required and as position expands

Who You Are

  • BS Degree in relevant field required. In lieu of a completed degree, 5+ years of relevant payroll experience beyond the minimum requirement will be considered.
  • 5 years of US Multi-State payroll experience; 2+ years of Canadian Multi-Provincial experience.
  • ADP Certification preferred.
  • Proficiency with Microsoft Office, specifically MS Excel, required.  
  • Strong organization and communication skills

  • Payroll Taxes knowledge for the US and Canada

Belimo is committed to paying all employees in a fair, equitable and transparent manner. The base pay for this position ranges from $75,000 - $85,000 annually with a target performance bonus of 7% of an employee’s annual base salary. Compensation is based on several factors including geographic location and may vary depending on job-related knowledge, skills, education and experience.
