What You'll Do

Service & Office Administration (Primary Focus)

  • Act as the main point of contact for customer coordination and administrative support
  • Coordinate scheduling and follow-ups for service and office activities
  • Maintain CRM and customer master data
  • Support invoicing activities and coordination with finance
  • Assist with organizing employee training, meetings, and team events
  • Coordinate customer and visitor visits and meetings

Logistics Support (Secondary / Coordinative)

  • Act as liaison with the logistics team to support smooth communication
  • Assist in resolving shipment or inventory-related issues
  • Support reporting and visibility on inventory and service-related metrics

Team Coordination & Administrative Support

  • Provide day-to-day coordination and support to customer service
  • Support onboarding and training coordination for administrative staff
  • Approve employee timesheets and support internal administrative tools (SuccessFactors, ADP)
  • Support monthly reporting related to service activities, inventory visibility, and office administration

Facilities & Health & Safety

  • Support facility-related coordination activities and infrastructure projects
  • Act as site safety coordinator for health & safety compliance activities, audits, and training coordination

Other Duties

  • Additional responsibilities as required to support smooth office and service operations

Who You Are

  • College diploma or higher, with 3–5 years of relevant experience in office administration, coordination, or customer service operations
  • Strong administrative, coordination, and customer service skills
  • Fluent in French and English (written and spoken)
  • Excellent communication, organizational, and time management skills
  • Ability to coordinate across multiple teams and functions
  • Proficient in Excel, Word, Outlook, and PowerPoint; SAP knowledge preferred
  • Strong problem-solving and organizational abilities

The base pay for this position ranges from $28 - $30 CAD hourly with a target performance bonus of 7% of an employee’s annual base salary. Compensation is based on several factors including geographic location and may vary depending on job-related knowledge, skills, education and experience.
